About The Role

The Executive Committee of BirdLife Northern NSW organises two campouts per year generally in autumn and spring. Campouts may be held in any suitable birding location across the whole of the Northern NSW region (from the Port Macquarie area to the Queensland border, west to Broken Hill).

A Campout Coordinator is needed to join the Committee to assist with pre-campout organisation, administration of the campout and post-campout activities. Campouts provide an enjoyable way to meet other birders and to visit other areas within the Branch
as well as being the major fundraiser for Branch approved research and conservation projects. The usual practice is to hold the Branch AGM and Committee elections at the autumn campout. The position is voluntary, as are all other Committee positions.


As a Campout Coordinator You Will:

  • Participate in Executive Committee meetings and discussions regarding the location of campouts, timing of the advertising and registration processes, the daily outings locations and the identification of suitable on-ground organisers.
  • Act as the ‘point of contact’ for information and decisions required by any on-ground organiser , particularly regarding the choice of camp venue, outing routes and leaders, and possible dining venue.
  • Liaise with the Treasurer to ensure all registrants have paid their fees;
  • Liaise with the Webmaster and Newsletter Editor regarding the timing and placement of campout notices.
  • Together with the WHS Officer, ensure the running of the campout will comply with BirdLife Australia’s compliance and safety guidelines.
  • Manage the campout registration process, currently done through an online form, produce associated documents and spreadsheets, and update this process as necessary;
  • Ensure that equipment & consumables required at the campout, i.e. First Aid Kits, BLNNSW Branch banners, printed documentation, Name Badges, raffle tickets, prizes, cash float and cash box, and merchandise, will all be available at the venue.
  • Ensure that all required documents are printed.
  • Liaise with Campout registrants for extra information, deposits, changes etc.
  • If not attending the campout, nominate someone to be the ‘point of contact’ for participants.
  • Send out Campout Programme just prior to the event.
  • Carry out post-campout administration such as finalising and distributing bird lists, checking
    first aid supplies, filing documents
  • Maintain and update where necessary the Committee’s ‘Campout Manual’

Skills required:

  • Competence with computer-based processes, including Excel, Jotform and Google Drive/Docs

The position is voluntary, as are all other Committee positions. Applications for reimbursement for travel and other costs may be considered by the Committee.
